Purpose of this Notice

The purpose of this privacy notice (“Privacy Notice”) is to let you know how PrintWithMe LLC (“PrintWithMe”, “we”, “us”, “our”) handles any personal data that you give to us or that we collect from you. It also provides information about your rights related to our use of personal information.


1. Introduction

We are PrintWithMe LLC, a provider of mobile printing, scanning, and faxing services through our website (printwithme.com) and our PrintWithMe app. This Privacy Notice applies when you use any of our services or interact with our website/app. It does not apply to any third-party applications or software that integrate with our services.

It is important to know that this Privacy Notice is separate to our Terms of Service, which you should also read because they set out the legal terms governing delivery, access and use of our services.


2. What We Do With Your Personal Information

We directly and indirectly collect the following personal information about you:

  • Account History (price of transactions, number of pages printed)
  • Name of Document to Print, Scan, or Fax
  • Contents of Document to Print, Scan, or Fax
  • User Behavior

The chart below describes how we get your personal information, why we get it, and who we share it with. In general, we use your personal information for the following three reasons: (1) to provide, update and maintain the Services we offer to you; (2) to communicate with you; and (3) for billing account management and other administrative matters.



User Accounts

How we get your personal info.: You can give us your information to create an account or we automatically create an account when you email a document to us for print, scan, or fax – even if you don’t finish your print order.

What is it?

  • Full name
  • Email address
  • Login credentials
  • History of account activity (how much you spend, number of pages)

Our purpose for getting your info. We use this information to provide our services to you, to communicate with you regarding our services, to provide customer support, and to obtain payment. You are also able to view your account activity and track your credits.

Who we share your info with? We use a third-party cloud and email service provider. Otherwise, we share your User Account with no one else.

Can you opt-out of sharing? No


User Metadata

How we get your personal info.: This information is automatically collected when you email documents to one of our location-specific email addresses.

What is it?

  • Full name
  • Email address
  • IP adddress
  • Name of your document
  • Your location

Our purpose for getting your info. We use it to recognize you and connect you with your user account so you don’t have to login each time you want to use our services. Instead of logging in, you can email your documents for instant service. We think this is convenient for our customers. We also know your location so we can connect you with one of our nearest printers or scanners.

Who we share your info with? When you contact us or send us documents, your User Metadata is sent to our email provider through a proxy server that may collect your IP address. Your User Metadata is also stored in our third-party cloud provider.

Transaction Data

How we get your personal info.: You provide this information when you use our services.

What is it?

  • # of pages you print/scan/fax
  • Amount you pay
  • Success of service
  • Date of the service
  • Location of the service
  • Status of our printers/scanners
  • Payment
  • Submitted document

Our purpose for getting your info. We use this information to provide our services to you, monitor the success and quality of our services, and provide you with customer support. We also use this information to support the processing of payments.

Who we share your info with? We use a third party to process payments. See Braintree’s website for more information.

Can you opt-out of sharing? No


Your Documents

How we get your personal info.: You send the documents you want to print, scan, or fax as an attachment to one of our location-specific email addresses.

What is it?

  • Document (and whatever information is in it)

Our purpose for getting your info. We need your document if you want us to print, scan, or fax it.

Who we share your info with? After we receive your document via email, we temporarily store it our third-party cloud for 24 hours.

Other than our email service provider, cloud provider, and printer server, we use third party services to convert the format of your document if necessary to provide the service you selected. Keep in mind that our printers are in public places and are not monitored. Other people can access your printed document so be sure to pick up your document when it prints.

User Survey

How we get your personal info.: Sometimes we solicit feedback from you about your experience with our services. These surveys consist of a few multiple-choice questions are completely optional.

  • Info about your behavior and preferences

Our purpose for getting your info. We use this information to better understand our customers’ needs and identify areas where we can improve our services.

Who we share your info with? We may share anonymized and aggregated survey results with our partners, Hammermill and Brother. Sometimes we sell this information.

Customer Support

How we get your personal info.: You provide information to us when you contact us for support. If you contact us via email, we will automatically collect the metadata from your email to recognize you as our customer and connect you with your user account.

  • Full name

  • Other info you provide

Our purpose for getting your info. We use this information to provide our services, troubleshoot, and provide customer support.

Who we share your info with? We use a third-party service provider to accept your phone calls. We delete your emails to customer support after we resolve your support inquiry.

Chat Widget

How we get your personal info.: You provide information when you enter into the chat window on our website.

What is it?

  • Whatever info you include in your chat

Our purpose for getting your info. We use the information you enter into the chat window to connect you with a human from PrintWithMe who can answer your questions in real-time.

Who we share your info with? Our chat widget is hosted by a third-party service provider.

Website Inquiry

What is it?

  • Full name
  • Email address
  • Location
  • Phone number
  • Whatever else you include in your inquiry

Our purpose for getting your info. We use this information to learn about potential business partners. It is not necessarily personal information since it is usually business that would fill out this type of inquiry, but we are telling you about it anyway.

Who we share your info with? Our website is hosted by a third party and leads automatically go to SalesForce, and our email provider.

Can you opt-out of sharing? No


Analytics

What is it?

  • Aggregated or anonymized data

Our purpose for getting your info. We collect and use data which is aggregated or anonymized to create statistics or reports that allow us to evaluate and understand the market and how our services are used. However, no single individual will be identifiable from the anonymized details we collect for these purposes.

Who we share your info with? We use third party services to help us analyze this information.

Can you opt-out of sharing? No


2.2 Information We Do Not Collect

We do not intentionally collect or store special categories of personal data, such as genetic data, health information, or religious information. Although PrintWithMe does not request or intentionally collect any special categories of personal data, we realize that you might store this kind of information in your account when you use our services to print, scan, or fax a document with such information imbedded. You should use discretion when sharing sensitive information or confidential information.


2.3 Age Limitations

PrintWithMe does not knowingly collect information from or direct any of our content specifically to children under 13 years old. As set out in our Terms of Service, if we learn or have reason to suspect that you are a user who is under the age of 13, and you have an account with us we will unfortunately have to close your account.


3. How We Share Your Data

3.1 Third Parties

While we have your personal information, we share it with recipients who fall into three categories:

Third Parties Providing Services to PrintWithMe.

These are third parties who provide services to PrintWithMe. These service providers include our email provider, cloud service providers, marketing analytics services, lawyers, consultants, and advisors on a need-to-know-basis.

Category 3

Other Third Parties.

We may disclose personal information to other third parties if required by law or with your consent. We also share anonymized, aggregated data with third parties who help us with marketing and analytics.

When we transfer your data to third parties, we try to ensure that any third parties with whom we share your personal information are limited (by law and by contract) in their ability to use your personal information for any purpose other than to provide services for us.

We may share personal information where it is in our legitimate interests to do so to run, grow and develop our business if we are involved in a merger, sale, or acquisition. If any such change of ownership happens, we will ensure it is under terms that preserve the confidentiality of personal information, and we will notify you on our website or by email before any transfer of your personal information.


3.2 Legal Disclosures

PrintWithMe may disclose personally identifying information or other information we collect about you to comply with court orders and similar legal or regulatory obligations, or in response to a valid subpoena, court order, warrant, or similar government order, or when we believe in good faith that disclosure is reasonably necessary to protect our property or rights, or those of third parties or the public at large. This may include exchanging personal information with other organizations for the purposes of fraud protection and credit risk reduction. This may include where we reasonably consider it is in our legitimate interests or the legitimate interests of others to comply, as well as where we are legally required to do so.

We will also disclose your personal information to third parties in order to enforce or apply our terms and conditions or any other agreement or to respond to any claims, to protect our rights or the rights of a third party, to protect the safety of any person or to prevent any illegal activity.


4. How We Protect Data

PrintWithMe takes the security of data very seriously, and we work hard to protect any information you provide to us from loss, misuse, and unauthorized access or disclosure. PrintWithMe cannot guarantee that information, during transmission through the Internet or while stored on our systems or otherwise in our care, will be absolutely safe from intrusion by others, but we do our utmost to protect it.

As a minimum we take the following measures to secure your data:

  • Data Transfer Integrity - All traffic to and from PrintWithMe servers is secured by transport level security (TLS) sent over a Secure Socket Layer (SSL), and secured using an AES 256-bit SSL certificate. This ensures that data sent between your systems and ours is encrypted.

  • Password Encryption - PrintWithMe user passwords are stored in our database after being hashed.
  • Firewalls - PrintWithMe enforces network level control for access to infrastructure by using multiple different firewall technologies to ensure that different components of its systems are logically isolated from one another.
  • Operational Access Controls - PrintWithMe employees require access to production services for operational reasons. We employ multiple authentication mechanisms to reduce the risk of unauthorized access.
  • Software Updates - PrintWithMe regularly applies software patches to production infrastructure in order to ensure a strong security posture to known software vulnerabilities.

5. Delete Your Personal Information

Please note that if you request the deletion of your personal information:

  • We may retain some of your personal information as necessary for our legitimate business interests, such as investigating fraud.
  • We may retain and use your personal information to the extent necessary to comply with our legal obligations and any due diligence requirements.
  • We may retain and use your information as part of aggregated data for business analytics.

With A User Account

If you have an account with PrintWithMe, we will retain your personal information for as long as your account is active or as needed to provide you with services that you request (in accordance with our Terms of Service). If you no longer want us to use your information to provide the services to you, you may delete your account by sending an email to us at support@printwithme.com with “Delete my account” in the subject line. We will permanently remove the personal information associated with your account within 30 days of your request to delete the account.

Unclaimed User Account

Everyone who uses our services has an account. Even if you do not claim your User Account, you still have one and should follow the steps described above if you wish to delete it.


6. California Residents

6.1 Privacy Notice Incorporated

In addition to the rights described in this section, our entire Privacy Notice is important and should be reviewed by California Residents.


6.2 California Residents’ Rights

If you are a California resident, then as a consumer, you have certain rights regarding your personal information according to the California Consumer Privacy Act of 2018 (“CCPA”). This section describes your CCPA rights and explains how to exercise those rights.

Access to Specific Information and Data Portability Rights

You have the right to request that we disclose certain information to you about our collection and use of your personal information over the past 12 months. Once we receive and confirm your verifiable consumer request (see Exercising Access, Data Portability, and Deletion Rights), we will disclose to you:


  • The categories of personal information we’ve collected about you.
  • The categories of sources for the personal information we’ve collected about you.
  • Our business or commercial purpose for collecting or selling that personal information.
  • The categories of third parties with whom we share that personal information.
  • The specific pieces of personal information we’ve collected about you (also called a data portability request).
  • If we sold or disclosed your personal information for a business purpose, two separate lists disclosing:
  • sales, identifying the personal information categories that each category of recipient purchased; and
  • disclosures for a business purpose, identifying the personal information categories that each category of recipient obtained.

Deletion Request Rights

You have the right to request that we delete any of your personal information that we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable consumer request (see Exercising Access, Data Portability, and Deletion Rights), we will delete (and direct our service providers to delete) your personal information from our records, unless an exception applies.

We may deny your deletion request if retaining the information is necessary for us or our service provider(s) to:

  • Complete the transaction for which we collected the personal information, provide a good or service that you requested, take actions reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform our contract with you.
  • Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, or prosecute those responsible for such activities.
  • Debug products to identify and repair errors that impair existing intended functionality.
  • Comply with the California Electronic Communications Privacy Act (Cal. Penal Code § 1546 seq.).
  • Enable solely internal uses that are reasonably aligned with consumer expectations based on your relationship with us.
  • Comply with a legal obligation.
  • Make other internal and lawful uses of that information that are compatible with the context in which you provided it.

6.3 Exercising Your California Privacy Rights

To exercise the access, data portability, and deletion rights described above, please submit a verifiable consumer request to us via email at support@printwithme.com with “Data Privacy Rights” in the subject line.

Please note that we will ask you to verify your identity before taking further action on your request. Some requests may be made no more than once per calendar year. We reserve our right not to respond to requests submitted other than to the email specified above.

Additionally, your request and choices may be limited in certain cases: for example, if fulfilling your request would reveal information about another person, or if you ask to delete information which we are permitted by law or have compelling legitimate interests to keep. You may only make a verifiable consumer request for access or data portability twice within a 12-month period.

We endeavor to respond to a verifiable consumer request within forty-five (45) days of its receipt. If we require more time, we will inform you of the reason and extension period in writing.

Personal Information Sales

We will not sell your personal information to any party. If in the future, we anticipate selling your personal information to any party, we will provide you with the opt-out and opt-in rights required by the CCPA.


6.4 Nondiscrimination

We will not discriminate against you for exercising any of your CCPA rights. Unless permitted by the CCPA, we will not:

  • Deny you goods or services.
  • Charge you different prices or rates for goods or services, including through granting discounts or other benefits, or imposing penalties.
  • Provide you a different level or quality of goods or services.
  • Suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services

7. Cookies

7.1 What Are “Cookies”?

Cookies are small text files (typically made up of letters and numbers) placed in the memory of your browser or device when you visit a website or view a message. They allow a website to recognize a particular device or browser. Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or until they expire.

7.2 Does PrintWithMe Use Cookies?

We use a very 'light cookie' to recognize you and authenticate your identity when you visit our website or use our services. We don't store user data in the cookie itself.

We also use some third-party cookies such as Facebook Ad Network, Google Analytics & Ad Network to retarget visitors with ads, measure the effectiveness of promotions, and to see web traffic insights.


7.3 What Can You Do If You Don’t Want Any Cookies to Be Set or Want Them to Be Removed?

Some people prefer not to allow cookies, which is why most browsers give you the ability to manage cookies to suit you. In some browsers you can set up rules to manage cookies on a site-by-site basis, giving you more fine-grained control over your privacy. What this means is that you can disallow cookies from all sites except those that you trust.

8.2 Changes to This Privacy Notice

We may change this Privacy Notice from time to time. Laws, regulations and industry standards evolve, which may make those changes necessary, or we may make changes to our business. We will post the changes to this page and update the "updated date" when we do. We encourage you to review our Privacy Notice to stay informed. If we make changes that materially alter your privacy rights, we will provide additional notice, such as via email or through the services. If you disagree with the changes to this Privacy Notice, you should deactivate your account with PrintWithMe, or otherwise cease use of our services.
